I Position
Summary:
The Logistics Officer is an important
position at Malala Fund and it is expected to provide high quality logistics,
finance, operational support and assistance in security management to the Malala
Fund team and partners in Pakistan. Malala
Fund has engaged in partnerships and programmatic
work in Pakistan since 2015 and is planning on
increasing its portfolio
investment and influencing
work in this
strategic period
(2020-2025). As the first point
of contact, the Logistics Officer will be expected
to organise and prioritise their workload effectively and work closely with the Malala Fund team and partners in Pakistan to provide comprehensive assistance and the smooth
functioning of the office. Among other things, the candidate
is expected to lead on organizing and managing
hosts of partners and suppliers to organize events/manage visits and
delegations including (when required) an on-site support during events and
delegates visits, as well. In that respect
this job holder is expected
to manage end to
end logistics starting from planning
to execution as well as closing. The incumbent will
work closely with our
global finance, operations and communications teams for effective coordination and should be well versed in technology to effectively use our global IT embedded systems
and liaise with
colleagues and offices working
in various time zones.

II.
Responsibilities
Operations:
● Act
as the first point of contact for all queries by phone, email, mail or in
person.
● Liaison
with office building management to
ensure that facilities (electricity,
air conditioning, lifts, cleanliness) are being managed as per their
contractual obligations.
● Organising meetings with government and
security officials as required.
● Manage
relationships with relevant ministries governing NGOs and help in furnishing
their monitoring and documentation needs.
● Liaison
with relevant line ministries, maintaining contact list and able to set up
meetings.
● Bring
to the table vast contact base of suppliers and manage logistics smoothly on a
short notice.
● Some
experience and awareness of managing schools construction/operations projects
with eye for details. Ability to
problem solve key logistical issues raised by implementing partners.
Logistics:
● Supporting the team with event planning,
coordination and delivery
● Liaise
with private and public sector offices
to organise and coordinate events
● Supporting the portfolio of legacy projects
including organising visits
to schools and with service providers.
● Implement
staff security by carrying out
security assessment or work relevant local authorities
● Security coordination and information
management
Finance:
● Engage
with local vendors and help procure local level small purchases and assist
Malala Fund’s international finance
and administration teams
● Day to day finance support including
managing daily cash flow.
● Bookkeeping of all in-country financial
activities.
● Producing monthly, quarterly and annual financial reports.
Security
management:
● Awareness of security assessments conducted
by the UN, Government of Pakistan and making good judgements about operations
and the safety of our staff, partners
and facilities.
● Effective liaising with police, awareness of
government procedures and protocols with an ability to keep government's key offices updated.

Essential:
Demonstrable experience in a similar position
with an NGOs, INGO, UN or
similar.
Experience in logistics, procurement and
security management professionals. Hands on experience of logistics management
of public events and meetings. Related experience of office and or facilities management
Experience of security coordination and information management
Ability to conduct meetings with visiting government officials.
● Demonstrable experience in a similar position with an NGOs, INGO, UN,
Corporate sector or similar. Rich experience of managing logistics with multiple teams with tack
record of sound operations management.
● Ability to work inside a developed
financial system in close coordination with globe teams. Ability to assist in managing
procurements.
● Experience in logistics, procurement and security
management. Should be able to contribute to implement Malala Fund’s global system at the local level.
● Hands
on

Position Summary
The Programme Officer is an important position at Malala
Fund in Pakistan and is expected to manage its expanding grants portfolio and
it’s Girls Education Champions
Network.
Malala
Fund has engaged in partnerships and programmatic work in Pakistan since
2015 and is planning on increasing
its portfolio investment and influencing work in this strategic period
(2020-2025).
Working with the Pakistan team, the
Programme Officer will design and
monitor individual grants while As
an experienced Programme Officer, you will use your skills and tools to
engage with individual partners to support the requirements of their grants,
build their capacity and improve their effectiveness
in grants management. You will be a diligent monitor of the
grants management work plan and reporting schedules and help keep the programme
on track. You will be readily able to develop easy to use tools and
templates to support our grantees and help them deliver high quality financial
and narrative reports.
You will be expected to manage and
deliver your work plan on a day-to-day basis as part of a small and efficient team. Our workforce planning is
deliberately lean in structure and agile in our ways of working to deliver our
ambitious plans.

team at Malala Fund Pakistan and we are looking for a feminist leader who

Responsibilities
Education
Champions Network (ECN) - Partner Management
· Serve
as Malala Fund liaison with grantees and partners and, where appropriate, represent Malala Fund.
· Cultivate an informal national network
of relevant stakeholders.
· Identify competitive grantee and
partner candidates.
· Onboard individual Education
Champions, and help them to understand roles, responsibilities, opportunities
and ways to contribute to Malala Fund’s
work.
· Convene
and lead regular meetings and calls with ECN partners in Pakistan.
· Keeping a strategic view of the programme and help push the partners and the teams in Malala Fund to work together to meet timely advocacy goals. Moving
towards achieving programme coherence
across the portfolio horizontally as well as linked with Malala Fund’s country strategy.
·
Working
with partners, plan event design, speaker profile development, talking briefs
and logistics as well as media management around events.
· Support ECN partner participation at
global events, and coordinate their attendance at relevant local and national
events.
· Support the Applied Learning
Officer to coordinate local
and national experts for applied learning delivery.
Grants Management
· Grant design discussions, building in
strategic coherence inside grant design, due diligence of new partners and
advancing proposals for new funding.
· Developing and monitoring work plans
for partners as well as across portfolios, supporting partners to put in place implementation
arrangements and take corrective actions to help the projects to be more effective on ground.
· Assist potential
grantee organisations to develop funding
proposals that support
Malala Fund’s
strategic objectives.
· Reporting to Malala Fund staff,
support the administration of the grants process, namely reviewing and commenting on progress reports
and ensuring accurate
and timely reporting.
· Liaise
regularly with grantees
to monitor and report on activities and associated risks,
including conducting periodic site visits.
· Support and promote grantee and partner safeguarding practices
in consultation with global Malala Fund staff.
Communications and Media
· Support
communications about Malala Fund work.
· Work
with
the Communications team to collect
stories of girls in grantee programmes.
· Provide
regular updates about grantee media presence (scheduled and actual).

· Significant related work experience with INGOs, donor funded
programmes in education, community development, and/or gender and well as understanding
of CSOs supported pilots/ policy work inside the government/private sector.

and supporting effective reporting and compliance to all
required policies and laws.
· Experience developing and
